3. Closed Circuit Assurance customer data

Apti provides Closed Circuit Assurance products and services, including Apti Safeguard Care and Apti Serve Right.

This website Privacy Notice does not govern personal information contained in a customer’s CCTV system or operational environment. This may include video streams, images, incident clips, alerts, event information, camera or site identifiers and related operational data.

The responsibilities of Apti and each customer in relation to such information will be defined in the relevant customer agreement, data-processing terms and deployment documentation. The customer will ordinarily determine why and where its CCTV and assurance system is used and will normally be the controller of that information. Where Apti processes personal information on a customer’s behalf, Apti will act on the customer’s documented instructions and in accordance with the applicable agreement.

Organisations using Closed Circuit Assurance are responsible for providing appropriate privacy information to their residents, patients, pupils, employees, visitors, customers and other affected individuals. Anyone seeking information about footage or data captured at a particular customer location should normally contact the organisation operating that location.

Apti will assist its customers in meeting their applicable data protection responsibilities where required by contract and law.

Where personal information is transferred to a country that has not been recognised as providing an adequate level of protection, we will use an appropriate legal safeguard. Depending on the circumstances, this may include the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses or another legally recognised transfer mechanism.

We will also consider the nature of the information, the destination and the technical and organisational measures used to protect it.

International transfers involving customer Closed Circuit Assurance data will be addressed separately in the applicable customer agreement and data-processing documentation.

10. Retention of personal information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including satisfying legal, accounting, regulatory and reporting requirements.

Our usual retention approach is:

  • general enquiries and prospective-customer correspondence: normally up to 24 months after the last meaningful interaction;

  • customer, supplier and contractual records: normally for the duration of the relationship and up to six years afterwards;

  • financial and transaction records: for the period required by tax, accounting and company law;

  • website security and technical logs: for a limited period appropriate to security and operational requirements;

  • cookie and analytics information: for the periods identified through our cookie settings or Cookie Notice;

  • marketing contact information: while the information remains relevant or until you opt out; and

  • opt-out or suppression records: for as long as reasonably necessary to respect your communication preference.

We may retain information for longer where necessary to establish, exercise or defend legal claims, resolve a dispute, investigate misuse or comply with a legal obligation.

Retention of operational information processed for a Closed Circuit Assurance customer will be governed by that customer’s instructions and applicable agreement.

These measures may include access controls, authentication, secure system configuration, encryption where appropriate, supplier controls, staff confidentiality requirements, monitoring and data-minimisation practices.

No internet transmission or electronic storage system can be guaranteed to be completely secure. However, we regularly consider the risks associated with the information we process and adjust our safeguards where appropriate.

12. Automated decision-making

We do not use personal information covered by this website Privacy Notice to make solely automated decisions that produce legal or similarly significant effects on individuals.

Any processing undertaken through a customer’s Closed Circuit Assurance deployment will be described in the relevant customer documentation. Closed Circuit Assurance alerts are intended to bring defined events to authorised personnel’s attention so that a person can assess the context and decide what action, if any, is appropriate.

13. Children’s information

Our website and commercial services are intended for organisations and business or professional users. They are not directed at children, and we do not knowingly invite children to provide personal information through the website.

If you believe a child has provided personal information directly to us through the website, please contact us so that we can assess and address the situation.

Closed Circuit Assurance deployments in schools, early-years settings or other environments involving children are outside the scope of this website Privacy Notice. They will require customer-specific privacy information, safeguards and contractual arrangements appropriate to the deployment.
